CallPad is an AI receptionist for UK aesthetics clinics. It answers your phone while you treat and out of hours, and books, moves or cancels consultations and appointments in your diary. Clinical, aftercare and complication calls go to your practitioner, not the AI. CallPad operates under UK GDPR.
Most independent clinics have one or two practitioners and no full-time receptionist. When you're mid-treatment, you can't pick up, and enquiries keep coming in the evening, after you've closed. By the time you call back, they may have booked elsewhere.
Callers expect a quick answer. Almost two-thirds of buyers expect a reply within 10 minutes, whether they're asking about sales or service (HubSpot Research, 2018). Voicemail rarely saves the enquiry: only 6% of UK adults say they would leave a voicemail rather than wait for a business to answer (YouGov for Answer4u, 2026). In UK call data from 2016, 69% of callers who reached a small business's voicemail hung up without leaving a message (Moneypenny Small Business Call Report, 2016).
In aesthetics, most new clients start with a consultation, so that's what CallPad books.
CallPad checks your live diary and books consultations in real time, with the practitioner the client asks for and the right appointment length. It moves and cancels appointments the same way.
If you charge a consultation fee or take deposits, CallPad can take a deposit on the call, either by texting a payment link or using a card on file in your booking system. You set the policy, and CallPad explains it to callers.
CallPad answers from the wording you approve: your treatment menu, prices, opening hours and location. You decide what it says about each treatment, and you can ask us to change it whenever you need to.
UK advertising rules are strict here. The CAP Code says prescription-only medicines may not be advertised to the public (CAP Code, rule 12.12). ASA guidance says clinics should promote the consultation, not the medicine. A phrase such as "a consultation for lines and wrinkles" is likely to be acceptable, but naming the medicine is not (ASA guidance on prescription-only medicines on websites). The ASA also has wider guidance on marketing surgical and non-surgical cosmetic procedures.
CallPad works within the wording you give it. For an aesthetics clinic, that means:
This is configuration your clinic controls, not a guarantee of compliance. Check your wording with a qualified adviser.
They go to your practitioner. CallPad doesn't give medical or aftercare advice, and you tell it which calls to pass on, including anything about a reaction, a complication or aftercare. CallPad can transfer the call to a team member or take a message. With a message, you get an email that says what the caller wanted, so you can call back ready to help.
You can also tell CallPad to direct anyone describing an emergency to ring 999, or NHS 111 for urgent advice.
CallPad operates under UK GDPR and has a data processing agreement, which sets out how we handle personal data on your behalf. Health details that a caller mentions, such as a medical condition or a reaction, are special category data under UK GDPR, so it matters who can see them.
CallPad keeps treatment details out of reminder and confirmation texts. Our security overview explains how we protect that information. Data in transit is encrypted using HTTPS/TLS, access is controlled through role-based authentication and logging, and monitoring and alerts are in place for suspicious activity. Your clients keep their rights, including the right to request access to their data, its deletion or a copy they can take elsewhere.
Yes. In England, it's an offence to give certain cosmetic injections, including dermal fillers, to anyone under 18 (the 2021 Act on cosmetic injections for under-18s). Ads for cosmetic procedures must not be targeted at under-18s either (ASA guidance on cosmetic procedures).
CallPad can check a caller's age before booking these consultations. You configure the check and decide which treatments it applies to.

We don't have an aesthetics clinic case study to share yet, so these are UK salon results. Essence of Beauty in Leyton, East London, is the closest: a salon of 31 years with a full beauty and skin menu, including laser and electrolysis (Essence of Beauty case study).
"We've never had anyone say it couldn't understand me, even with a Scottish clientele," says John at Lime Salon Group (case study). At Adamson Jones in Llandudno, CallPad explains the salon's 48-hour deposit policy on every call (case study). See all our case studies.
CallPad plans are quote-based. They depend on how many practitioner diaries you connect and how many hours of calls you need each month. Solo covers one diary, Standard up to 10, Pro up to 20, and Enterprise is for multi-location businesses. Contact us for a quote.
Setup takes about 10 minutes: connect your diary, forward missed calls to CallPad, add your approved wording and instructions, and make a test call. The setup guide shows each step.

CallPad uses your approved, consultation-led wording and doesn't run promotions on prescription-only treatments. It explains that suitability is decided at the consultation by the prescriber.
