CallPad answers your spa's calls during treatments and after hours, and books, moves or cancels appointments in your booking system. Hear it live.

CallPad is an AI receptionist for spas and massage practices. It answers your phone while therapists are in treatment and after you close, answers questions about treatments, prices and opening hours, and books, moves or cancels appointments in your booking system. Health questions, and anything else it can't handle, go to your team.

Why is the phone such a problem in a spa?

A spa is built around uninterrupted time. A therapist who is 20 minutes into a 90-minute massage isn't going to step out to answer the phone, and nor should they. In a small spa or a solo massage practice, that can mean nobody is free to pick up for most of the day. Then the calls keep coming in the evening and at weekends, when people finally have time to plan something for themselves.

Callers don't wait long. Almost two-thirds of buyers expect a reply within 10 minutes, whether they're asking about sales or service (HubSpot Research, 2018). Voicemail doesn't hold on to them either. In the US, only 42% of consumers say they leave a voicemail when a business doesn't answer, and 21% say they immediately call another business (CallRail, 2025). In the UK, only 6% of adults say they would leave a voicemail rather than wait for a business to answer (YouGov for Answer4u, 2026).

We look at this more closely for day spas, massage therapists, estheticians, head spas, sauna and cold-plunge studios and red-light therapy studios.

What does CallPad do on a spa call?

CallPad picks up when your team can't, and handles the call the way a calm, well-briefed receptionist would.

Books treatments into your calendar

CallPad checks your live calendar and books, moves or cancels appointments in real time, with the right treatment length and the therapist the client asks for. A 60-minute massage goes in as 60 minutes, and a 90-minute facial as 90.

Answers treatment and price questions

"What's the difference between your two facials?" "How long is the hot stone massage?" "Are you open on Sunday?" CallPad answers from your own treatment menu (service menu), prices and opening hours, so the answers match what your team would say.

Passes health and intake questions to your team

CallPad isn't there to give health advice. You tell it which questions go to a person, such as anything about pregnancy, medical conditions, medication or whether a treatment is suitable. If a caller asks for a person, CallPad can transfer the call to a team member or take a message. With a message, you get an email that says what the caller wanted. For the paperwork side, see our guide to new client intake forms.

Sends reminders and follow-ups

On the Standard plan and above, CallPad also sends personalized reminders and thank-you notes, and handles rescheduling and follow-ups (CallPad pricing).

Can it book couples' treatments, packages and gift cards (gift vouchers)?

Yes for couples and packages. CallPad books the right therapist and the right room for the right treatment length. For a couples' massage, it books two therapists at the same time, in real time. It books packages too.

If you take deposits for packages or couples' bookings, CallPad can take a deposit on the call, either by texting a payment link or using a card on file in your booking system. You set the policy, and CallPad explains it to the caller.

For gift cards (gift vouchers), CallPad answers questions from the information you give it, such as what a gift card covers and how to buy one. Group bookings for birthdays and bachelorette (hen) parties are covered in our guide to group spa bookings.

How does it cover after hours, busy seasons and overflow?

Calls don't stop when you close. CallPad answers 24/7, so a client who decides at 11pm to book a massage for Saturday can do it there and then.

It also helps when the phone gets busy around gift-giving and fresh-start seasons. Read our guides to Valentine's Day, Mother's Day and New Year bookings.

You don't have to hand over the whole phone at once. You can start in one of three ways:

  1. Overflow first. Your team gets the first chance to answer. If nobody picks up, the call goes to CallPad.
  2. After hours. CallPad answers when you're closed: evenings, early mornings and days off.
  3. Full coverage. CallPad answers every call, and your team handles what it passes on.

If you're a solo therapist, overflow can be a natural start: you answer when you can, and CallPad picks up when you're with a client. Unlike a missed-call text, which asks the client to reply later, CallPad talks to the caller and books them while they're on the phone.

Which spa booking software does CallPad work with?

CallPad books in real time, with a named therapist, in:

  • US: Mindbody (classes and appointments), Booker, Zenoti, Square, Setmore, GlossGenius and Google Calendar
  • UK: Phorest and SalonIQ
  • Australia: Shortcuts and Cliniko

On Vagaro? CallPad answers every call and captures booking requests. Live booking into Vagaro is in the works: join the waitlist to be first to know.

Some platforms, including Zenoti, offer their own AI receptionist that works inside their platform. CallPad works with the system you already use. Not listed? Ask us about your system.

What results have real businesses seen?

We don't have a spa-only case study to share yet, so here are the closest. Essence of Beauty in Leyton, East London, is a hair and beauty salon with a full beauty and skin menu, including laser, electrolysis, facials and massage. It has no receptionist, and the team shares the front desk between clients (Essence of Beauty case study).

  • 20 hours of phone time taken off the team in the first 16 weeks.
  • 1 in 5 calls came while the salon was closed, and about 30 of those callers booked.
  • An estimated £7,000+ (UK pounds) of appointments from about 180 new bookings.

One real call came in at 00:19. The caller said one word: "Electrolysis." CallPad explained that sessions run from three to fifteen minutes, asked which length she wanted, and booked a five-minute session with a named therapist for Thursday lunchtime. "Nobody has to stop a treatment to grab the phone any more," says manager Marina.

At Lime Salon Group, a group of three hair salons in Scotland, CallPad booked about 140 appointments while a salon was closed (Lime Salon Group case study). See all our case studies.

Will it sound calm and on-brand?

A spa phone call should feel like the rest of your spa. You can change CallPad's greeting, including its name and what it says first, and tailor its responses to your style. It sounds natural, and it lets callers know it's an AI.

The best way to judge is to listen. On our listen page you can hear CallPad take booking calls, including a booking with several services and a cancellation.

How much does it cost, and how long does setup take?

CallPad plans are quote-based. They depend on how many staff calendars you connect and how many hours of calls you need each month. Solo covers one calendar, Standard up to 10, Pro up to 20, and Enterprise is for multi-location businesses. See CallPad pricing to get a quote.

Setup takes about 10 minutes. You connect your booking system, forward missed calls to CallPad, add your notes and instructions, and make a test call. The setup guide walks you through each step.
