CallPad is an AI receptionist for Australian cosmetic and skin clinics. It answers calls 24/7 and books consults in real time with a named practitioner in Cliniko and other connected systems. Why do cosmetic clinics miss enquiries?

Most independent cosmetic and skin clinics have one to three clinicians and no full-time receptionist. When you're in the treatment room, you can't pick up. Enquiries also come in the evening, after you've closed. By the time you call back the next day, they may have booked somewhere else.

People expect a quick reply. Almost two-thirds of buyers expect a reply within 10 minutes, whether they're asking about sales or service (HubSpot Research, 2018). That's a general survey, not an Australian one, but the point holds: an enquiry that isn't answered quickly is easy to lose.

How does CallPad handle consult-first booking?

In cosmetic clinics, new clients start with a consult, so that's what CallPad books.

Books the consult with the right practitioner, in real time

CallPad checks your live calendar and books consults in real time, with the practitioner the client asks for and the right appointment type and length. In Cliniko, that includes your consult appointment types. It moves and cancels appointments the same way.

Explains consult fees and takes deposits

If you charge a consult fee or take deposits, CallPad can take a deposit on the call, either by texting a payment link or using a card on file in your booking system. You set the policy, and CallPad explains it to callers.

Answers practical questions from your approved wording

CallPad answers questions about your opening hours, location, how consults work and how your pricing is structured, using only the wording you approve. You can change that wording whenever you need to.

What does CallPad say about prescription-only treatments?

Australian advertising rules are strict here, and CallPad is set up to work within them.

  • TGA: most cosmetic injection services involve prescription-only medicines, which can't be advertised to the public. The TGA says that when you advertise a cosmetic service, you shouldn't refer to prescription medicines or substances, even indirectly. That includes brand names, acronyms or abbreviations, nicknames and hashtags (TGA guidance on advertising health services that involve therapeutic goods).
  • AHPRA: the Guidelines for advertising higher risk non-surgical cosmetic procedures have applied since 2 September 2025. They apply to anyone advertising these procedures when they're performed by registered health practitioners, including businesses as well as practitioners (AHPRA resources for advertising higher risk non-surgical cosmetic procedures).

On the phone, CallPad works within the wording you give it. For a cosmetic clinic, that means it:

  • uses your approved, consult-led wording
  • names no products
  • quotes no treatment-specific promotions or discounts
  • explains that suitability is decided by your practitioner at the consult

This is configuration your clinic controls, not a guarantee of compliance. Check your wording with your professional association, a legal adviser or your indemnity insurer.

What happens with clinical and complication calls?

They go to your team. CallPad doesn't give medical or aftercare advice, and you tell it which calls to pass on, including anything about a reaction, a complication or aftercare. CallPad can transfer the call to a team member or take a message. With a message, you get an email that says what the caller wanted, so you can call back ready to help.

You can also tell CallPad to direct anyone describing an emergency to ring 000.

How does CallPad handle client privacy?

Health details a caller mentions, such as a medical condition or a reaction, are sensitive information under Australian privacy law, so it matters who can see them. CallPad complies with the Australian Privacy Act.

CallPad keeps treatment details out of reminder and confirmation texts. You decide what CallPad captures on a call. Our security overview explains how we protect that information.

Which clinic software does CallPad work with?

CallPad books in real time, with a named practitioner, in:

  • Cliniko, including consult appointment types
  • Shortcuts, for salons and clinics with a cosmetic room. CallPad also powers the Shortcuts AI Receptionist.
  • Simple Salon
  • Phorest, on any plan. You request an API key from Phorest, and CallPad connects with it.
  • Google Calendar, for practitioners without booking software

CallPad can't book into Timely or Kitomba yet, but CallPad integrations with both are in the works. Join the Timely or Kitomba waitlist to be first to know. Using Pabau or another system? Ask us.

What results have CallPad customers seen?

We don't have an Australian or cosmetic clinic case study to share yet. The closest is Essence of Beauty in Leyton, East London, a UK salon with a full beauty and skin menu, including laser and electrolysis (Essence of Beauty case study). These are UK results:

  • 1 in 5 calls came while the salon was closed, and about 30 of those callers booked.
  • An estimated £7,000+ of appointments from about 180 new bookings in 16 weeks.

How much does it cost, and how long does setup take?

CallPad plans are quote-based. They depend on how many practitioner calendars you connect and how many hours of calls you need each month. Solo covers one calendar, Standard up to 10, Pro up to 20, and Enterprise is for multi-location clinics. Contact us for a quote.

Setup takes about 10 minutes: connect your calendar, forward missed calls to CallPad, add your approved wording and instructions, and make a test call. The setup guide shows each step.
