Yes. With CallPad, clients can book, move or cancel salon appointments on WhatsApp, ask questions and reach your team. Here's how it works and what WhatsApp's rules mean.

Quick answer: Yes. With CallPad, salon, spa and clinic clients can message you on WhatsApp and book, reschedule or cancel an appointment in real time, get answers to questions about your services and hours, and be handed to a team member when they want a person. CallPad's WhatsApp channel does everything its voice receptionist does on the phone, 24/7.

Email is live too. Instagram, Messenger and TikTok are coming soon.

What a WhatsApp AI receptionist does

A WhatsApp AI receptionist reads and replies to the messages clients send to your business on WhatsApp, the same way a receptionist answers the phone. On WhatsApp, CallPad:

  • books appointments in real time, with the stylist or provider the client asks for, straight into your booking system
  • reschedules and cancels existing appointments
  • answers questions about your services, hours, location and policies, using your own business information
  • hands the conversation to your team when a client asks for a person or needs something only staff can handle
  • replies 24/7, including evenings, weekends and while you're with a client

It's the same receptionist that answers your phone, so a client gets the same answers and the same booking options whether they call or message.

How booking on WhatsApp works for the client

  1. The client messages your salon's WhatsApp number, for example "Do you have anything Saturday for a cut and colour?"
  2. CallPad checks live availability in your booking system and offers real times.
  3. The client picks a time, and CallPad books it with the stylist they asked for.
  4. If the client wants to move or cancel later, they message again and CallPad updates the appointment.
  5. If they ask for a person, CallPad passes the conversation to your team.

What WhatsApp's own rules say

Businesses that message clients through the WhatsApp Business Platform follow Meta's WhatsApp Business Messaging Policy. Three points matter for salons:

  • The 24-hour customer service window. You can reply to a client without a template within 24 hours of their last message, and the window resets with each new message (WhatsApp Business Messaging Policy).
  • Automation needs a route to a person. The policy allows automated replies during that window, but you must also offer a "prompt, clear, and direct" escalation path, such as an in-chat transfer to a human agent, a phone number or email (WhatsApp Business Messaging Policy).
  • Messaging first needs opt-in and templates. Outside the window, or to start a conversation, you can only send approved message templates, and Meta says you must get the client's opt-in before sending them (WhatsApp; Meta for Developers).

Meta's developer overview describes the WhatsApp Business Platform as the set of APIs businesses use to message customers at scale (Meta for Developers).

WhatsApp Business app vs an AI receptionist

The free WhatsApp Business app gives you greeting messages, away messages and quick replies. They're useful, but they can't check your calendar or book anything. Someone still has to read each chat and do the booking. For how to set those tools up, see Instagram and WhatsApp DM booking for salons. An AI receptionist does the booking itself, so a message at 11pm becomes an appointment by the time you open.

Which booking systems does it work with?

CallPad books in real time with a named stylist or provider in Mindbody, Booker, Zenoti, Square Appointments, GlossGenius, Setmore, Zoho Bookings, Phorest, SalonIQ, Salon Manager, Shortcuts, Simple Salon, Cliniko and Google Calendar. Frequently asked questions

Can salon clients book appointments on WhatsApp?

Yes, if the salon uses a WhatsApp booking assistant. With CallPad, clients can book, reschedule or cancel on WhatsApp, and the appointment goes straight into the salon's booking system on the systems CallPad works with.

What is a WhatsApp AI receptionist?

It's an assistant that answers your business's WhatsApp messages for you. CallPad's answers questions, books and moves appointments in real time, and hands the conversation to a team member when a client wants a person.

Is it allowed to use AI to answer WhatsApp messages?

WhatsApp's Business Messaging Policy allows automation when you reply within the 24-hour customer service window, as long as clients have a prompt, clear and direct way to reach a person, such as a transfer to a human agent, a phone number or email.

Can a salon message clients first on WhatsApp?

Only with the client's opt-in and an approved message template. WhatsApp's policy says businesses may only start conversations with approved templates, and Meta's developer docs say you must get opt-in before sending templates.
